Gmail Templates can save wording you use repeatedly. This exercise builds a fictional practice reply, inserts it into a fresh draft, and checks that two placeholders are replaced. The finished result is an unsent draft with zero `[[...]]` markers; this guide never asks you to email the sample.

Before you start

Enable and save a template

  1. In Gmail, choose Settings → See all settings → Advanced. Find Templates, select Enable, and click Save Changes. If it is already enabled, keep the current setting.
  2. Click Compose. Copy the body from gmail-template-practice.md into the draft. It begins Hi [[FIRST NAME]], and includes [[GUIDE LINK]]. Leave To blank. Do not use a real customer's name, address, or private details.
  3. In the compose window, choose More options → Templates → Save draft as template → Save as new template. Name it Practice guide reply. Avoid Overwrite Template, which targets an existing saved template.

These controls match Google's Gmail Templates help, checked 9 October 2026. The exact position of a menu can change with Gmail updates or screen size.

Insert and check the practice draft

  1. Start a fresh Compose draft. Choose More options → Templates → Insert template → Practice guide reply.
  2. Compare the inserted body with the practice file. Both [[FIRST NAME]] and [[GUIDE LINK]] should still be present. If the text is different, inspect the saved template before using it for anyone.
  3. Replace [[FIRST NAME]] with Casey and [[GUIDE LINK]] with https://example.org/practice-guide. This is a fictional URL, used only to make a completed practice draft. Compare the body with the answer check.
  4. Search the body for [[ and ]]. Neither marker should remain. Leave the recipient blank; do not send this exercise. In real use, check the recipient, subject, name, link, attachments, and sensitive details before sending.

Common mistakes

  • Templates is missing from the compose menu. Enable it in Advanced on a desktop browser and save settings. Gmail mobile apps do not offer this workflow according to Google's help.
  • The wrong text appears after insertion. You may have saved a different draft or overwritten an older template. Compare the saved body with the practice text before trusting it.
  • The text appears twice. In our private test, inserting a template while the original body was still in the same compose window appended another copy at the cursor. Start from an empty Compose draft for the exercise.
  • A placeholder remains. The template is only a starting point. Search for both double-bracket markers before a real send.
  • The exercise URL looks real. example.org/practice-guide is a reserved illustrative URL, not a downloadable file. Replace it with the correct working link in a real message.

FAQ

Can a template reply automatically? Gmail Help describes sending a template through a filter, but that is a separate automation with different risks. This exercise uses manual insertion only.

Is saving a template the same as saving a draft? No. The named template can be inserted into future compose windows. Inspect a fresh draft to verify what was actually saved.

Can I delete the practice template later? Google provides Templates → Delete template, but warns that deleted templates cannot be recovered. Check which item you select before removing it.

Source and visual note

Primary source: Gmail Help — Create a template in Gmail, checked 9 October 2026. In a private, authorized Gmail practice on the same date, we temporarily enabled Templates, saved the fictional Practice guide reply, confirmed it appeared under Insert template, inserted it into the existing compose body, then saved an unsent draft matching the answer check with no recipient. Templates was restored Off and verified after a reload. Insertion into a fresh empty draft was not separately tested. The video uses labeled English illustrative diagrams, not recorded Gmail screens. No message was sent.
