Use this workflow for a stored PDF, not a native Google Doc. Download fictional Version A, Version B, and the answer check. The PDFs have no real people or location.
Compare the files first
Version A says Pine Room and 8:45 AM ET check-in. Version B says Cedar Room and 9:00 AM ET check-in. The workshop date, October 22, 2026, and the 45-minute travel allowance do not change.
Record the starting Drive link
Upload Version A to a private practice folder. Select its Drive item and copy its link into a local note. Do not change its sharing permission. This gives you a baseline string; it does not prove access for someone else.
Update that existing item
Select the existing PDF. Following Google Drive Help, choose More > Manage versions > Upload new version, then select Version B. Wait for processing. Do not use a normal folder upload of a same-named second PDF.
Check the outcome
Open the updated item and read the preview. It should show Cedar Room and 9:00 AM ET, with the date and travel allowance still intact. A private signed-in test confirmed that uploading Version B through Manage versions updated the selected Drive item and its preview. Copy the link again and compare it character for character with your original. That exact URL comparison was not captured in the test, so verify it in your account. Even with a matching link, a recipient still needs the appropriate Drive access.
Keep an older version when needed
Google warns that a past stored-file version may be deleted after 30 days or 100 newer versions. If Version A matters for an audit, select Keep forever beside it in Manage versions. Keep the local PDF as an additional copy.
If a check fails
If the preview still shows Pine Room, confirm that Version B went through Manage versions on the original item, then refresh after processing. If the link differs, confirm you did not create a second Drive file. Do not distribute the link until the item, preview, and access are correct.
Google's file-version instructions were checked 13 October 2026. A private same-item version update was confirmed that day; literal copied-link equality was not. Companion visuals are illustrative diagrams, not recordings of the signed-in test.
