Before you start

The companion video uses clearly labelled illustrative diagrams based on the downloadable example. Menu wording may vary with app version or account. Keep the source file available for comparison.

1. Prepare enough rows to test

Open a copy of the practice CSV. It contains one header row, Order ID | Owner | Amount, and 120 unique fictional order IDs from SO-041 through SO-160. The video shows the first three rows as an excerpt. In print preview, choose Normal (100%) scale or Fit to width rather than Fit to page, then confirm at least two pages before testing the repeated header. Page count varies with paper size, margins, and row height.

Check: Header in row 1; 120 fictional orders; Confirm 2+ preview pages.

2. Freeze the header row

In Google Sheets, choose View > Freeze > 1 row. The header remains visible while you scroll the editing view. This also establishes which row the print setting will repeat. If your document has a multi-row header, freeze the correct number of rows, but avoid freezing data rows accidentally. Scroll once to confirm the labels stay at the top.

Check: View > Freeze > 1 row; Scroll to confirm; Only header is frozen.

3. Enable repetition in print settings

Choose File > Print. In the print settings sidebar, expand Headers & footers and select Repeat frozen rows. The setting refers to the rows you froze in the Sheet, so make sure that freeze step is correct first. Preview the result before exporting a PDF or printing. Do not confuse this option with repeating a title inside the document itself.

Check: File > Print; Headers & footers; Repeat frozen rows.

4. Inspect page two, not just page one

Move to the second page in print preview. Its top should show Order ID, Owner, and Amount before any fictional order values. Then inspect the first data row on that page: it should continue the list without a manually copied header embedded in the sheet. If the labels are missing, return to the freeze setting and the Repeat frozen rows checkbox.

Check: Open preview page 2; Read all 3 labels; Check first data row below.

5. Do not duplicate the header manually

Typing the same header again halfway through the sheet is fragile. It can be sorted as though it were a data row and may appear at the wrong location when page breaks change. The repeat-frozen-rows print feature renders the existing header on each printed page without altering your table data. Keep a single source header and verify pagination in preview.

Check: One header row in sheet; Print setting handles repeats; No fake data rows.

Expected result

The practice CSV has 120 fictional orders and one header in row 1. With at least two print-preview pages, freezing row 1 and enabling Print > Headers & footers > Repeat frozen rows makes Order ID | Owner | Amount appear on every page. The exact page break depends on paper, scale, and margins.

Common mistakes

  • Freezing the row in the editing view alone does not prove it will repeat in print output.
  • Fit to page may shrink all 120 orders onto one page; choose Normal (100%) or Fit to width and confirm two preview pages.
  • Inspect page two in print preview or exported PDF before sharing.
