A status field becomes hard to filter when In progress and In progres both appear. This guide uses a fictional five-task tracker to add one Google Sheets dropdown and test that an invalid value is rejected. The expected finish is three `Done` tasks, two `In progress` tasks, and zero misspelled statuses after changing the first task to Done.
Download the practice CSV and the answer checks. The CSV is starting data, not a finished Sheet: CSV stores cell values but cannot store a Google Sheets data-validation rule.
Before you start
- A Google account with access to Google Sheets on a computer.
- A new Sheet into which you import
status-tracker-practice.csv. - Permission to edit that Sheet. The names and tasks are invented for this tutorial.

Add the rule
- Check that the header is on row 1 and the five tasks occupy rows 2–6. Select D2:D6; do not include the
Statusheader. - Choose Data → Data validation → Add rule. Google's current help also offers Insert → Dropdown. In the rule panel, confirm that the selected range is
D2:D6. - Under Criteria, choose Dropdown. Add three separate choices, spelled exactly
Queued,In progress, andDone. Their colors are optional. - Open Advanced options and make sure invalid data is rejected. Google says an entry that is not in the list is rejected by default; Show a warning permits other values. Save the rule with Done.
These menu labels match Google's dropdown instructions checked 9 October 2026. Google may move controls, so use the equivalent options you see in the current interface.
Test it before trusting it
- Click D2 and try to enter
In progres(onesmissing). With rejection active, Sheets should refuse the entry; D2 should remainQueued. If the typo is accepted, inspect the rule's target range and switch Show a warning to Reject input. - Choose
Donefrom D2's dropdown. Your five rows should now contain 3 Done, 2 In progress, 0 Queued, and 0 In progres. Compare with the answer checks.
Common mistakes
- The dropdown looks right but a typo is accepted. The rule may use warning mode or miss the target cell. Reopen Data validation and inspect both.
- A new task row has no dropdown. This exercise targets only
D2:D6; extend the range or copy the rule into new rows. - The CSV export lost the dropdown. Keep the Google Sheet as your editable master. CSV preserves the visible values, not the rule.
- Existing statuses differ slightly. Standardize them deliberately before counting. A dropdown does not prove that an older value was semantically correct.
FAQ
Can the choices come from cells instead? Yes. Choose Dropdown from a range and point the rule at cells holding the approved values. The three fixed choices here keep the first exercise short.
Can users select more than one option? Google's help supports multiple selections only for a chip-format dropdown, and mobile selection has limitations. This tracker intentionally requires exactly one status per task.
Does color enforce the allowed values? No. The invalid-data option decides whether unmatched text is rejected.
