Accept One Word Edit and Reject Another in Word for the Web

Use Word for the web's Reviewing mode to make two tracked edits in a fictional workshop note. Accept a correct deadline change, reject a mistaken document change, and check that the final text is right.

The task: review two proposed changes in a short document. Accept a corrected deadline, reject an incorrect attachment name, and check the final text.

This exercise uses a fictional workshop note and a clean practice DOCX. The answer check records the expected result. The diagrams in the companion video illustrate the decisions; they are not screen recordings of Word.

What you need

  • Word for the web with permission to edit a copy of the document.
  • The downloaded practice DOCX. Upload it to OneDrive or open it through Word for the web, and work on a copy.
  • About five minutes. No real customer, employee, or financial information is used.

The starting document has two sentences:

Registration closes on Thursday at 5 p.m.
Attendees receive the session outline by email after registration.

You will make two proposals. The deadline change, Thursday → Friday, is correct. The attachment change, outline → invoice, is a deliberate mistake. The practice DOCX starts clean; no suggestions have been preloaded.

1. Enter Reviewing mode before editing

Open the document in Word for the web. At the top, use the document mode control and select Reviewing. Confirm it says Reviewing before changing either word. Microsoft's Word for the web guidance explains that edits made in Editing mode are not tracked as changes, while edits made in Reviewing are. If you already made a direct edit in Editing, undo it before continuing.

The browser interface can vary with account type and updates. Follow the mode label rather than assuming the control is in exactly the same position as an illustrative panel.

2. Create the two proposals

Replace Thursday with Friday in the first sentence. Replace outline with invoice in the second. In Reviewing mode, both should show as changes to review. The color or card style can vary. Check that you changed the correct words, and leave the rest of the text alone.

3. Accept the deadline correction

Select the Thursday-to-Friday change. Use Accept from the Review tab or the change's own control, depending on the current layout. This should keep Friday. Avoid accepting all changes; the second suggestion is supposed to be rejected. Microsoft's accept/reject guide describes the web controls and individual decisions.

4. Reject the wrong attachment name

Select the outline-to-invoice change and choose Reject. This discards the proposed word invoice and keeps outline. The key mental model is simple: Accept keeps the proposed text; Reject keeps the previous text.

5. Verify a resolved result

The final sentences should read:

Registration closes on Friday at 5 p.m.
Attendees receive the session outline by email after registration.

If the first sentence still says Thursday, revisit the first change. If the second says invoice, revisit the second. You can compare the result against the downloadable answer check.

Do not rely on No Markup as a completion signal. Microsoft explicitly says that view only hides changes temporarily; unresolved changes can reappear when the document is opened again. Show the revisions, resolve every intended change with Accept or Reject, and inspect any comments before sharing a real document.

Troubleshooting

  • My replacements appeared as direct edits: Confirm the document was in Reviewing, not Editing, when you typed. Undo the direct edit and try again.
  • I see a different color or side card: Use the changed words to identify each proposal. Microsoft can alter the display without changing the underlying accept/reject decision.
  • I cannot see Accept or Reject: Select the change and inspect the Review tab or the action on the selected change. If access is view-only, make an editable copy.
  • The page looks clean but a reviewer sees changes: Return from No Markup to a revision view and resolve the changes; a display choice is not a review decision.

Sources and scope

Steps and behavior were checked against Microsoft's Word for the web Track Changes article and Microsoft's accept/reject article on 9 October 2026. The full two-edit exercise was also performed on an authorized fictional demo copy in Word for the web that day; the account UI was Slovak, and the final text matched the answer check. Current English menu positions may differ, so follow the control names and intent rather than the exact illustrated layout.
